JOB SUMMARY, DESCRIPTION & QUALIFICATIONS:

Job Summary

The Central Services Assistant is a valuable addition to the Facilities team, responsible for processing incoming and outgoing mail and shipments with a focus on accuracy, quality, and timely processing. This role extends support to the Facilities management team and collaborates across all areas of the college, particularly in the selling of equipment through our public surplus auction. Reporting to the Supervisor: Custodial & Central Services, the standard work schedule for this position is Monday through Thursday, from 11:30 a.m. to 4:30 p.m., and on Friday, from 11:00 a.m. to 4:00 p.m. However, flexibility is required as these hours may be subject to change based on workload fluctuations and the evolving needs of customers and educational projects. Strong communication skills are essential for regular interactions with vendors, shipping companies, staff, and members of the external community.

Essential Functions and Responsibilities

The following duties are primarily performed and are essential for this position. Employees are expected to be able to perform each of these job duties satisfactorily and successfully with or without reasonable accommodation.

Shipping & Receiving:

  • Manage various shipments, including USPS Parcel Post, UPS, FedEx, US Mail, Common Carrier, and Airfreight, ensuring accurate and timely processing.

  • Inspect shipments for damage, accuracy, and quality; record items received into inventory spreadsheet.

  • Address receiving discrepancies, taking appropriate and timely action.

  • Safely operate material handling equipment, including carts, hand trucks, pallet jacks (manual & electronic), forklifts, and platforms.

  • Keep the shipping and receiving area clean and free from clutter and garbage.

Mail Room & Delivery:

  • Process and handle all incoming and outgoing mail.

  • Contact staff members of large items that need to be picked or time sensitive mail.

  • Perform daily mail runs to the Center for Health Sciences building.

  • Maintain accurate records of postage and shipments.

  • Operate postage scales and other mail room equipment efficiently.

  • Ensure compliance with U.S. Postal Regulations and provide mailing guidelines to staff.

  • Prepare end of month postage report to reflect business reply, bulk mailings, and UPS Shipments throughout the month.

Administrative Office Duties:

  • Perform clerical tasks and scan office files into the computer for electronic filing using office scanners.

  • Maintain and confirm fleet vehicle reservations and distribute keys.

  • Provide back-up coverage and support for the Facilities Management team as necessary.

  • Answer Facilities emergency phone line and dispatch Facilities staff as needed.

Asset Inventory:

  • Verify customer receipts with appropriate paperwork and items ordered from Public Surplus Auction website; distribute items accurately.

  • Photograph and video record college wide equipment/assets and store information electronically.

Additional Experience Information:

  • Proficient in utilizing Microsoft Suite, Outlook, Workday, and Adobe

  • Familiarity with operating office equipment such as copiers, scanners, multi-line phone systems, handheld radios, and postage scales

  • Skilled in the operation of a variety of equipment, including forklifts, manual and electric pallet jacks, and fleet vehicles of different sizes

Knowledge, Skills and Abilities

In order to perform the functions and responsibilities of the position (listed above) the following knowledge, skills, and abilities, including language skills, reasoning and mathematical abilities are essential.

Language Skills:

Ability to read, write and comprehend simple instructions, emails and memos; discuss information one-on-one and in small groups.

Ability to accurately add, subtract, multiply, and divide in all units of measure; compute rate, ratio, and percent.

Ability to apply common sense understanding to carry out written, oral, or diagrammed instructions; solve problems involving several concrete variables in standardized situations.

Ability to navigate to and between computer applications; read/reply to emails, open/save/close files and applications; find, format and print documents; operate common office equipment.

Customer Service Skills:

Ability to pleasantly initiate, maintain and end a conversation; act in a professional manner using appropriate language and body language.

Other Requirements

Applicants must have a valid Wisconsin driver's license and successfully pass NTC's motor vehicle background check. If not already secured, completion of a certified forklift operator course is mandatory. Additionally, candidates must undergo training for the electric pallet jack and attend a certified hazardous communications (OSHA) class within six months of being hired.
